Information stored
Vaultmeet stores competition details supplied by meet organizers, including meet names and dates, athlete names, teams, gender divisions, seed marks, opening heights, attempts, and results. When accounts are used, Vaultmeet also stores names, email addresses, organization branding, meet roles, and invitation records.
Accounts are for adults
Vaultmeet accounts are for meet organizers and officials. Creating an account — by securing a meet or accepting an invitation — requires confirming you are 18 or older and authorized to act for the meet's club or organization. Minor athletes must not be primary account holders; athletes appear in Vaultmeet only as competition entries added by their meet organizers.
Public and private meets
Public meets expose roster and competition results on public result pages and may contribute to public Vaultmeet rankings and aggregate usage counts. Private, unlisted meets are excluded from public meet listings and rankings, but anyone who receives the unlisted link may be able to view the meet.
How information is used
Information is used to operate competitions, calculate standings, create exports and social graphics, provide live result pages, authenticate officials, maintain audit history, and produce aggregate platform statistics. Vaultmeet does not use account email addresses in public rankings.
Service providers
Vaultmeet runs on Cloudflare infrastructure, including Cloudflare D1 database services. Data may be processed and stored by Cloudflare as necessary to provide the service.
Control and deletion
Meet owners can change a meet between public and private, unlisted visibility, and can delete a meet from its owner controls. Meet organizers are responsible for having an appropriate basis to enter and publish participant information, particularly information about minors; creating a public meet requires confirming that authority.
Participants, guardians, coaches, and authorized organization representatives may submit a verified request for correction, public-display hiding, ranking exclusion, or removal review. A request creates a review case and never changes results automatically.
Submit a participant data request
Signed-in users can delete their account from the account section on the home page. Account deletion removes the sign-in, club branding, meet memberships, and pending invitations, and anonymizes the user's attribution in meet history. Meets and their published results are not deleted with an account: a meet whose last member is removed reverts to operator-link access. Owners who want their meets removed should delete those meets before deleting the account, or contact support.
Data retention
- Accounts are kept until the owner deletes them or requests deletion through support.
- Sign-in links and app codes are single-use and expire after 15 minutes.
- Sessions expire after 30 days.
- Invitations expire after 7 days and are removed when the sender's or recipient's account is deleted.
- Public and private meets are kept until their owner deletes them, so results remain available as a record of the competition.
- Abandoned meets (no athletes and no recorded attempts) are purged about 30 days after creation.
- Demo meets are temporary and are purged within hours of being abandoned or closed.
- Audit history is kept for the life of its meet and deleted with the meet.
